1. ACCOMODATION RECOMMENDATION
I've received a recommendation from one of our potential special guests to hold meetings in the Hunt Valley Marriot. Not only does it share a parking lot with Firaxis(!), it is only two short exists from BHG' headquarters. They have also handled gaming meets/conventions before.
On Marriott's website, it indicates that there are 390 guest rooms and 22 meeting rooms with a square footage of 9504. Depending upon room selection and furniture arrangements, they can accomodate capacities of anywhere from as little as 16 to as many as 9,880(!) Meeting rooms are wired with high-speed Internet access, public areas in the hotel are wireless and guest rooms are both wired and wireless.
Once we settle on dates et. al., rooms can be booked right away: they are already taking reservations for up to and including next August. I'm quite certain that no matter how large (or small) the convention pans out to be, they could accomodate us in this respect as long as we don't leave it to the "last minute". 2. DATE SETTING
In terms of days of the week, JohnT originally mentioned a convention length of 2-to-3 days. I believe that this is a reasonable length of time: not too rush so as to feel you have to "get out" as soon as you "get in", but also not too long, i.e. too costly on the pocketbook and clock.
If possible scheduling wise and 'interested-and-available-participant wise', a Tuesday-Thursday combination might be ideal as it should lessen traffic volume in the airways/on the roadways as compared to Mondays/Fridays/weekends and increase the likelihood of being able to make accomodations.
3. REQUESTED SESSION
Said potential special guest would like to see a Q&A session that focuses on moddability. I have already told this individual that I didn't foresee any barrier to having such a session or it being apart of a larger group discussion, and in fact should be well received by the community here. Don't fail me now...
