why cant RM just take a completely new name...this way we are definitely not bending some rules and we are on the safe diplomatic side

Well, it needs to be someone from the Apolyton citizen list. Otherwise, I'd be considered a spy...
Give me a screenname to be. My only concern is if someone from CBR has had experience with the person whose screenname I took, they'll be like "Hey Donegeal! Remember what happened in our PBEM together? Did you expect that?" My impromtu side would get some action then.
I would rather be RegentMan, to show them that even though CFC has been defeated, we're still here. Their lying and deceipt are not forgotten. However, you probably won't want them to know that, so if that's the case, I'll be Donegeal or some other name that I'm assigned.

I think all that is needed is for everyone to keep in mind that you are representing Apolyton, even if you are there unofficially. Be friendly, or at the least cordial. MZ is our chief spokesman and Aro is our representative to this team. Let them do their thing.
Also, keep in mind the map trading rules.

That bolded bit would indicate that saying 'x is 2-2-2 of y is not allowed.' I have my doubts as to references of N-S-E-W as well. Try to avoid being explicit.
Something like 'you see those hills by the river? We came from there' would be fine. Just try to be careful.

A new rule was passed and trading of screen shots is now allowed. Here's the new rule as adopted by the UN.
